get my paperwork in order (read all 9 entries…)
this was really hard to do 2 months ago

I gave up writing about it here on 43things and moved on with it, in the end I was doing 3 or 4h during weekends just to see the end of the mess! Now I have all my paperwork in order: papers worth keeping were scanned, some filed, bills all paid etc. Now I have a SYSTEM in place to deal with paperwork as it arrives: they are placed in a folder call “process” and once a week a reminder in outlook pops up reminding me to go through my “process” folder. Also asked Mr Pcyclepath for some suggestions and we came up with a flowchart that really makes sense. I’ve been following my system and making adjustments as I go along. Great I’m feeling in control and no longer losing sleep over this!

I’d like to do the same thing. Could you give more detail on what you did with scanned documents (did you use any software or program to manage them) and the flowchart that you’re using?

Hi Janeymaisy, thanks for your comment. I run a small business from home and I worry about throwing papers away, afraid I may need them later, that’s why I decided to scan docs. Didn’t bother with any special software, just storing them by quarter is enough for my piece of mind. I don’t think I’ll ever need to look at them again.

As for my flowchart, is just something really basic that makes sense for my business. For example, I tend to buy stuff for myself and my customers. Whenever some invoice arrives I need to answer some questions before I can decide what my next action is:
- did I buy item for my business/some customer? If bought for customer I need to pass this to them (I was forgetting to do this and losing money, how stupid of me!)
- has invoice been paid already? If not, schedule payment. If yes: did I pay myself (personal account) or using business card? Different actions accordingly. And so on, very boring stuff that needs to be done, without my flowchart I was just getting confused and dealing with the same paper more than once, now paper arrives and I follow a system. So far so wonderful.

So I’m not sure what to suggest you, perhaps you could think about what you usually do and try to come up with a system that makes sense to you. Best of luck!
